Privacy Policy

Effective from: August 20, 2026

At Heirmark, we take your privacy seriously. Please read this Privacy Policy to learn how we treat your personal data. By using or accessing our Services in any manner, you acknowledge that you accept the practices and policies outlined below, and you consent that we will collect, use and share your information as described in this Privacy Policy.

Your use of Heirmark’s Services is at all times subject to our Website Terms, which incorporates this Privacy Policy. Any terms we use in this Policy without defining them have the definitions given in the Terms.

What this Privacy Policy Covers

This Privacy Policy covers how we treat Personal Data that we gather when you access or use our Services — including heirmark.digital public sites, verification and passport surfaces, demo experiences, intake forms and related communications. “Personal Data” means any information that identifies or relates to an identifiable individual.

This Policy does not cover the practices of companies we do not own or control, or people we do not manage. Brand-controlled passport content may surface brand-provided information under that brand’s policies as well.

Personal Data

We may collect categories of Personal Data such as:

  • Contact data — name, email, company, role and message content when you contact us or start with Heirmark.
  • Account and programme data — identifiers tied to brand workspaces, intake and identity requirements.
  • Product identity interaction data — verification lookups, scan/resolution events and related technical logs (product IDs are not always Personal Data).
  • Device and usage data — IP address, browser type, pages viewed, referring URLs and similar analytics.
  • Cookie and tracker data — as described in our Cookie Policy.

How We Use Personal Data

We use Personal Data to operate and improve the Services, respond to enquiries, provide verification and passport experiences, secure systems, comply with law, and communicate about programmes you request.

How We Share Your Personal Data

We may share Personal Data with service providers who process data on our behalf, with brands when you interact with a brand’s Heirmark-powered experience (as needed to fulfil that experience), for legal compliance, in a business transfer, or with your direction or consent. We do not sell Personal Data.

Tracking Tools and Opt-Out

We use cookies and similar technologies as described in our Cookie Policy. You can manage preferences through our cookie controls and your browser settings where available.

Data Security and Retention

We use administrative, technical and organisational measures designed to protect Personal Data. No method of transmission or storage is fully secure. We retain Personal Data for as long as needed for the purposes described, including legal, security and operational requirements.

Personal Data of Children

Our Services are not directed to children under 16, and we do not knowingly collect Personal Data from children. If you believe a child has provided Personal Data, contact us and we will take appropriate steps.

Your Choices

Depending on where you live, you may have rights to access, correct, delete, restrict or object to certain processing, or to portability. To exercise rights, contact privacy@heirmark.digital. You may also unsubscribe from marketing emails using the link in those messages.

International Transfers

Personal Data may be processed in countries other than where you live. Where required, we use appropriate safeguards for such transfers.

Changes

We may update this Privacy Policy from time to time. The effective date above will change when we do. Continued use of the Services after an update means you accept the revised Policy.
